iPulsey ERP is engineered to safeguard confidential commercial tenancy agreements, trade licenses, passport records, and financial transaction histories with UAE bank-grade encryption and strict tenant data isolation.
Executive Privacy Commitment
This Privacy Policy governs the collection, processing, storage, and retention of commercial tenant data, KYC identity documents, and operational records processed by iPulsey ERP, an enterprise software solution engineered and operated by Hai Technologies LLC (Dubai, United Arab Emirates). Categories of Data Processed
In order to facilitate serviced office management, DED commercial licensing, Ejari tenancy registrations, and FTA VAT invoicing, iPulsey ERP processes the following data categories on behalf of Business Center operators:
Corporate & Tenant KYC Data
- Company Legal Name, DED Trade License Number & Free Zone Registry.
- 15-digit Federal Tax Authority (FTA) Tax Registration Number (TRN).
- Emirates ID numbers, Passport copies, and UAE Residence Visa documents.
- Attested Memorandum of Association (MOA) & Power of Attorney (POA).
Contractual & Financial Records
- Commercial Tenancy Lease Agreements, Terms & Annexures.
- Legally binding in-app digital signature audit trails and timestamps.
- Tax Invoices (5% VAT), Receipt Vouchers, and Payment Vouchers.
- Post-Dated Cheque (PDC) installment records, bank names, and cheque numbers.
Multi-Tenant Business Center Isolation
iPulsey ERP enforces strict cryptographic and database-level isolation between independent Business Centers via its proprietary bc_id Context Resolver. No Business Center operator, manager, or accountant can access, query, or view tenant data belonging to another commercial entity unless granted explicit multi-center administrative authority.
Zero Cross-Tenant Leakage: All operational queries for customers, leases, invoices, payment vouchers, and document vaults are strictly scoped to the authenticated Business Center session.
Data Security, Encryption & 2FA Safeguards
In full compliance with UAE Cyber Security standards, iPulsey ERP implements multi-layered defensive controls:
AES-256 & TLS 1.3
Data encrypted in transit and document binaries encrypted at rest.
2FA TOTP Authentication
Google Authenticator 6-digit TOTP mandatory for critical access tiers.
2FA Delete Gate
Immutable records cannot be purged without dynamic MFA verification.
Data Retention & Statutory Statutory Periods
Commercial records, tax invoices, and lease contracts are retained in accordance with UAE commercial regulations:
- Tax & VAT Records: Retained for a minimum of 5 years as mandated by the UAE Federal Tax Authority (FTA).
- Tenancy & Lease Documents: Retained throughout the duration of active tenancy plus statutory limitation periods.
- Forensic Access Logs: User login, IP address, and modification logs are immutably archived for security compliance.
